NY de Volunteer’s
department function
Program Department is responsible for organizing and executing the
program activities in support of the mission. Key functions include
disseminating program information, recruiting participants, and directing
activities at the event site. This team manages the direct contact
point with external customers including program participants, service
recipients, and media groups. As such, this team serves as an important
ambassador of the NYdV brand and what it represents.
Development Department is responsible for executing strategies set
by the executive team to secure funds for the organization. Key functions
include gaining corporate sponsorship, securing grants from various
foundations, organizing fundraising events, and recruiting new members.
The development function manages the direct contact point with another
key external customer group – individual and corporate supporters.
Similar to the program team, the development team must also serve
as an active ambassador of the NYdV brand to the external world.
Finance & Legal Department is responsible for managing all financial
and legal aspects of the organization. Key functions include maintenance
of federal 501(c) filing status, day-to-day financial bookkeeping,
and liaison with legal and accounting services. By providing effective
management of those projects, finance team will ensure full regulatory
and tax compliance for NYdV and its operations.
Information Technology Department is responsible for managing the
technology to support the operation of NYdV. This includes the front-end
maintenance of NYdV website as well as the back-end development and
maintenance of the organizational database. Key projects include redesigning
the NYdV website, building a membership database, and developing a
log-in system for tracking volunteer activities.
Communications Department is responsible for managing all external
communications on behalf of the organization. Key tasks include drafting,
proofing, and/or issuing of press releases, newsletters, and articles.
In addition, a crucial responsibility of cultivating and managing
relationships with members of all relevant media resides with this
department. With carefully crafted communications that support the
overall organizational strategy, this team ensures the consistency
of NYdV’s brand identity.
General Affairs Department is responsible for providing office support
to all other functional teams. Examples of tasks would include report
and document generation, file maintenance and update, call answering
and routing, and etc. Specializing in administrative tasks, this team
play an important role in ensuring that activities undertaken by other
functional groups are carried out successfully and smoothly.
By design, all strategy formulation process is concentrated at the
top with the Executive Team. As all other departmental staff members
consist of volunteers, there has historically been relatively high
turnover at all positions. Centralized planning and decision-making
process is incorporated in order to minimize the disruption in operation
that may result from departure of staff members at all other functional
groups.
